Brügg/Biel – 19 January 2016 – Biella is expanding its portfolio with products and services that meet the requirements of increasing digitisation in the workplace and build a bridge between the physical and digital worlds. The first solutions from the new product range for external archiving and digitisation of documents are available immediately under the Biella SimplyFind brand. Biella SimplyFind stands for quick and easy management of all types of documents.

On the one hand, Biella is expediting the consolidation of the office supplies industry in Europe. On the other hand, it is using the opportunities presented by digitisation to expand its range with relevant products and services. The traditional, tried-and-tested office supplies will be supplemented by innovate new products and services that merge the physical and digital document cycles.

More space thanks to external archiving
The first two innovative solutions are available immediately in Switzerland. Biella SimplyFind Archiv is a smart solution for companies wishing to outsource their archiving in order to save space and reduce costs. Customers do no have to buy a specific quota in advance – they only pay for the storage space that they actually use. And they can rest assured that their important documents are stored away safely.
The service covers the entire document cycle. The Biella SimplyFind team packs, labels and indexes the documents to be archived, all on the customer's premises. The applied indexing method ensures that the documents can be found again quickly. The team then transports the archive boxes to the Biella SimplyFind warehouse, where they are stored anonymously, marked only with bar codes. This process guarantees that the content of the archive boxes is known only to the customer.
The customer can access their personal My Biella SimplyFind account via secure web access to search for documents in the archive, gain an overview of the stored documents and order the originals. All orders are delivered within 24 hours as standard. If the documents are required more quickly, they can be sent by express courier. A further service allows authorised persons to view documents undisturbed in a specially reserved viewing room.
Digitisation of documents
Biella SimplyFind Scan is a service that enables documents to be digitised rapidly. The Biella SimplyFind team collects the documents from the customer and takes them to its own scanning centre, where they are digitised using high-speed scanners. The digital data, which is stored in a highly secure location in Switzerland, can be accessed via the Biella SimplyFind online account – any time, anywhere. This technology is being continuously developed and enhanced with new functions.
Total security for physical and digital documents
Security is the top priority with all Biella SimplyFind solutions. All documents are saved multiple times throughout their life cycle. To protect the stored archive boxes against unauthorised access from the outside, the document archive boasts sophisticated access control, extensive video surveillance and an intruder alarm system that automatically triggers a police response. Physical documents can only be accessed by people who are able to identify themselves with an authorisation card. This ensures that documents never end up in the wrong hands. The archive boxes themselves are also highly secure. They offer protection against harmful external influences such as water and dust, and with the Track & Trace function, customers can check the current location of their documents at any time.
Digital documents and data are stored safely in Swiss data centres that meet the security requirements of banks and are located in highly secure facilities. Professional checking mechanisms ensure that the systems are always available and protected against unauthorised access from the outside.
